Job Description

We are seeking a highly driven and proactive Operations Manager to oversee and continuously improve Smart Homes Japan’s daily operations.

This is an important role in supporting the company’s growth, ensuring the smooth running of business administration, compliance, procurement and project logistics.

You will work closely with the founder and project teams to manage company systems, coordinate between departments and maintain operational excellence.

This role is ideal for someone who:

Key Responsibilities

  • Oversee daily business operations to ensure smooth workflows across all departments.
  • Manage administrative tasks, compliance and company policies to maintain organised and efficient operations.
  • Handle HR functions, including onboarding, payroll coordination and employee records.
  • Supervise bookkeeping, invoicing and coordination with the accountant.
  • Oversee procurement, inventory, logistics and the timely delivery of materials for projects.
  • Support project coordination and service operations with internal teams and subcontractors.
  • Assist with sales and business development by helping to prepare proposals and manage client documentation.

Skills & Requirements

  • Language proficiency: Fluent in Japanese; business-level English required.
  • Experience: Minimum of three years’ experience in business operations, administration or management.
  • Organisation: Excellent ability to prioritise, plan and multitask across diverse areas of responsibility.
  • Attention to detail: High level of accuracy and reliability in documentation and communication.
  • Leadership: Strong sense of ownership, accountability and initiative.
  • Communication: A clear and confident communicator who can manage multiple stakeholders.
  • Technical skills: Familiarity with accounting software, Google Workspace and project management tools.
  • Problem-solving: A strategic thinker who enjoys streamlining workflows and improving efficiency.

Additional Skills

  • Experience in the construction, technology or property industries.
  • Experience of working in a start-up or small business environment.
  • Understanding of Japanese labour law, insurance and compliance processes.
  • Hold a valid Japanese driving licence.
